Terms & Conditions

Definitions

Organisations’, ‘you’ – This term refers to you, the person or educational entity, which may include schools, colleges, or universities.

Grow With Hope’, ‘We’ – This term refers to our organisation, Grow With Hope CIC.

Facilitator’ – An individual trained to lead and oversee the delivery of Grow With Hope’s services in schools. This includes working with students, school staff, and parents/carers. Facilitators can be employees of Grow With Hope (including freelance staff) or volunteers.

Hope Champion’ – An individual trained to support the execution of Grow With Hope’s activities in schools & educational institutions. This role involves working with students, school staff and parents/carers. Hope Champions can be employees of Grow With Hope (including freelance staff) or volunteers.

Volunteer’ – An individual who supports the implementation of Grow With Hope’s activities but is not employed by Grow With Hope. This support can include working with students, school staff and parents/carers in various roles as well as working in Grow With Hope’s administration and additional roles. A volunteer is not paid for their work, however Grow With Hope may cover their expenses.



Key Terms to Our Services


1. Acceptance of Bookings:

We accept bookings solely based on these terms and conditions. Bookings must be made by an organisation’s representative who is acting on its behalf within the scope of their professional duties.


2. Teacher Presence in Workshops:

For student workshops, a teacher must always be present. While Grow With Hope’s facilitators can manage minor disruptions, the teacher is responsible for addressing more significant behavioral issues.

3. Workshop Venue Requirements:

For face-to-face workshops, if the group exceeds 35 students, we request that the sessions take place in a hall or lecture theater whenever feasible. For groups of 35 or fewer, a classroom is preferred. However, we do tend to provide workshops for groups of 35 and below within a classroom as young people often get more involved and get more out of these workshops compared to bigger groups.

4. Technical Requirements:

Access to a computer and an interactive whiteboard (or projector) is required, with the ability to retrieve presentation materials via the internet or a USB drive for all sessions.

5. Workshop Preparation:

Teachers should be informed in advance about the workshop's content and goals, and it is expected that all staff will contribute positively to achieving the learning outcomes.

6. Information Submission:

A form requesting additional details will be sent out either before the workshops or at the time of booking confirmation. This form must be filled out and returned no later than two weeks before the scheduled sessions. This will help us make sure our workshop content is best suited to the needs of your organisation.

7. Notification of Staff:

We will provide the names of the facilitators and Hope champions who will conduct the workshop at your organisation, at least 5 working days before the sessions.

8. Payment Terms:

An invoice will be issued at the time of booking, due within 30 days of receipt. Late payments will incur a 5% interest per week on the outstanding amount. Grow With Hope reserves the right to pursue recovery of any unpaid amounts past sixty days from the invoice via collection agencies or small claims court (if under £3000).

9. Insurance:

Grow With Hope will maintain adequate public liability insurance for its staff and volunteers.

10. Safeguarding Practices:

We adhere to stringent safeguarding protocols. All Grow With Hope staff and volunteers who may interact with children or vulnerable adults will have an enhanced DBS check with a barred list check, in accordance with our Safeguarding Policy. Cancelling Your Booking

1. Cancellation Process:

All cancellations must be made via email to info@growwithhope.org.uk. If cancellation is made with less than 29 days' notice, cancellation fees will apply as follows to cover incurred costs:

- 29 days or more: No fee

- 8 to 28 days (inclusive): 50% of the agreed cost

- 1 to 7 days: 100% of the agreed cost



2. Rescheduling:

If delivery can be rescheduled for a later date, we may choose to waive these cancellation fees at our discretion.




Cancellation by Grow With Hope

1. Cancellation Notice:

If we need to cancel a session, we will provide 14 days’ prior written notice when possible. However, due to unforeseen circumstances, cancellations or changes may occasionally occur with less than 14 days’ notice.

2. Refunds:

If a cancellation notice is given at least 14 days before the workshop, and if you opt not to reschedule, we will refund any fees paid prior to the cancellation. If less than 14 days' notice is given, we will notify you as soon as possible. Should we cancel or change the time/date without reasonable notice and you choose not to reschedule, we will refund any applicable fees.



Force Majeure

Neither party is liable for any contract failure under circumstances beyond the reasonable control of such party including natural disasters such as earthquakes or floods, acts of war, terrorism, riots, governmental actions, or any other natural or man-made eventuality outside of our control. Affected parties should take reasonable steps to comply with contract conditions and may reschedule another date.

Complaints

A feedback form will be provided during or after the session. Any complaints or constructive comments will be addressed fairly and confidentially.


Termination of Agreements and Refund Policy

Either party may terminate the contract agreement. No refunds will be provided if a service has commenced, is in progress, or has been completed. We pride ourselves on delivering quality services promptly and efficiently. However, unforeseen circumstances can occur, and we cannot guarantee specific timing under such conditions.


Variation of Terms

We reserve the right to modify these terms from time to time, with reasonable notice given.
